FAQ: How do I add a narcotic medication with an active count?

  1. Add a Narcotic in the EMAR Section

    • Navigate to the EMAR section and select "Add Medication."
    • Enter the medication details such as name, dose, form, and strength (e.g., oxycodone).
    • If backdating the medication, administer it starting from the backdate to maintain an accurate count.
    • Include the prescription (Rx) number and prescriber details.
  2. Set Frequency and Instructions

    • Toggle the frequency option, such as "Every 4 hours as needed for pain."
    • Input the dosage and detailed instructions as per the doctor's prescription.
  3. Ensure Narcotic Tracking is Enabled

    • Confirm that "Narcotic" is selected (this should auto-select).
    • Enable "Track Quantity" and input the initial quantity received on the start date.
    • Set a low stock threshold to receive reminders (e.g., when stock is at 5 tablets).
  4. View Medication in the Narcotic Count Section

    • Once added, the medication will appear in the Narcotic Count section with the initial count.
    • Use "View History" to see details of administration and adjustments.
  5. Administer Medication (Backdating if Needed)

    • Go to the Med Pass section and select the appropriate date and time (work backward if backdating).
    • Choose the medication (ensure the correct date is selected).
    • Optionally, add a note for additional context and confirm administration.
  6. Complete PRN Effectiveness

    • For PRN medications, record the effectiveness after administration (e.g., 1–2 hours later).
    • Save the effectiveness entry to ensure proper documentation.
  7. Correct Counts During a Shift Change

    • To adjust counts, click "Add Count" in the Narcotic Count section.
    • Enter the current count (e.g., 29 tabs) and add a secondary witness if required.
    • Verify the medication imprint matches the prescription.
  8. Backdating and Timeline Adjustments

    • Be cautious with backdating, as it can disrupt the timeline.
    • If errors occur, contact Synkwise support to correct the count or timeline.
  9. General Best Practices

    • Add narcotics as soon as you receive the order to avoid timeline issues.
    • Ensure accurate records by documenting each administration, count adjustment, and shift change promptly.
