How to Audit Late Entries in EMAR

Enable and use the audit feature for late medication entries

FAQ: How can I see what time meds were signed off?

  1. Access the Administration Settings

    • Make sure you are logged in as an Admin, Workspace Admin, or have a custom role with permissions enabled.

    • Navigate to the Administration settings panel.

  2. Enable Late Entry Auditing in EMAR

    • Go to the Workspace Settings.

    • Under the EMAR section, locate the Drug Administrations area.

    • Find the Audit Late Entries toggle and enable it.

    • This feature tracks if a medication was administered outside of the scheduled time range.

  3. Understand What Qualifies as a Late Entry

    • For example, if a med is scheduled at 8:00 AM but documented as given at 9:01 AM, it will be marked as late.

    • You can customize the acceptable administration window.

  4. Save Your Settings

    • After enabling the setting, make sure to save the changes.

  5. View Late Entries in MedPass

    • Go to the EMAR and select a resident.

    • Open the MedPass section.

    • When a medication is administered late, the charted time will appear in red.

    • The system records who charted it and the exact timestamp.

  6. Review the MedLog

    • Go to the MedLog to see all late entries.

    • Late entries are visually indicated with a red circle and a checkmark.

    • This helps identify staff who consistently administer meds outside the approved window.

  7. Add Notes for Late Entries

    • Staff can document a note explaining the med was given on time but charted late.

    • Always document any discrepancies to stay compliant.
