Send a Refill to the Pharmacy

When the medication supply is running low, send a fax to notify the pharmacy

FAQ: How do I send a request to the pharmacy to receive a refill?

  1. Identify Which Medications to Track

    • Go to each resident’s medication list.

    • Click the three dots next to a medication and choose “Edit.”

    • Scroll down to ensure Track Dispensed Quantity is enabled.

    • Only medications with this setting enabled will appear in the refill section.

  2. Verify Medication Refill Settings

    • Navigate to Administration > Settings.

    • Look for the toggle that allows “Medication administrations with zero quantity.”

    • Enable this if you want to be able to pass medications even when the stock is at zero.

  3. Check Medication Visibility for Refills

    • Medications that are tracked and have zero stock will now appear in the refill section.

    • Example: If a medication shows “0,” it means it’s ready for refill action.

  4. Request a Refill

    • Select the medications from the refill section.

    • Click “Request Refill.”

    • Type a message explaining the request.

  5. Send via Fax

    • Choose “Fax” as the sending method.

    • Select “Send to Pharmacy.”

    • Make sure the pharmacy’s fax number appears. If not, update it under Contacts.

  6. Customize and Send

    • You can customize the fax cover sheet.

    • The fax will include:

      • A cover sheet with your message.

      • A second page listing the medications.

    • Click “Send.”
